EDMS Implemented at Astrakhan State University
Astrakhan Representative Office of JSC ICL-KME CS completed implementation of electronic document management system DIRECTUM at Astrakhan State University.
Founded in 1932, Astrakhan State University (ASU) is currently known as one of the largest educational institutions in the Caspian Region.
ASU graduates are successfully employed at government agencies, scientific and educational institutions, industrial, agricultural enterprises and in mass media. Around 17 thousand students are currently studying at the university alongside with 600 post-graduate students and Ph. D. candidates.
In summer of 2009, University Administration held a public bidding for electronic document management system delivery and implementation. In accordance with the bid results, DIRECTUM system became the winner whereas Astrakhan Representative Office of ICL-KME CS was selected to implement it. The decision was based upon extensive experience DIRECTUM’s business partner possesses in implementation of the similar projects as well as upon a capability to upgrade the whole system functionality in future and a good value for money EDMS offers its end-users.
The system was implemented in accordance with the approved implementation procedure recommended by DIRECTUM experts. The purpose was to create a single information space for interaction within the ASU by integrating DIRECTUM EDMS with the existing systems.
ICL-KME CS faced the following challenges:
- to automate records management and coordination procedure covering the control of incoming, outgoing documents as well as of internal corporate documents;
- to analyze document workflow;
- to coordinate orders regarding employees and orders regarding students by integrating DIRECTUM EDMS with other existing systems.
DIRECTUM implementation resulted in its integration with two business systems “Deanery” and “1C”. To integrate the automated systems it was necessary to modify DIRECTUM EDMS as it pertains to data exchange between “1C” and “Deanery” business systems and to create a mechanism for automated data update in customized directories.
These tasks were successfully solved in the course of system implementation which resulted in deployment of an integrated scalable IT system that meets the needs of Astrakhan State University personnel and provides enhancement and flexible automation of University-specific business processes.
